WHRHS Use of School Facilities Procedure:

WHRHS Co-Curricular Clubs, Teachers, Coaches, Administration, and Support Staff:

  1. Submit an RSchool Facilities Request for all activities, meetings, sports practices, testing, and events outside of the daily rotating drop schedule.
  2. Include all setup requests and notes regarding the activity or event (see instructions below).
  3. Submit WHRHS fundraiser paperwork to the Co-Curricular Coordinator (if applicable).
  4. All approvals will be done through RSchool. You should receive a notice via email when the event is completely approved by administration.

*After school hours and weekends- groups not scheduled in RSchool Facilities Scheduler will not be allowed access to the building.


External Groups & Booster Clubs:

  1. Create an RSchool Facilities Scheduler account by clicking "Become a Requester" on the homepage. Follow the steps given. You will recieve an email notification once an administrator approves your account.
  2. Login to your account via the homepage and start to fill out a Facility Request Form
  3. Complete and attach the following necessary documents with the Facility Request Form by clicking on Attach File: Upload.

The above documents will need to be submitted within 3 days for each facility request. Failure to submit this will delay the facilities request approval process or may result in denial of the request.

Facilities may be reserved up to one year in advance, but individuals and groups must reserve facilities at least 60 days prior to any event.

*External Groups 2, 3 & 4: The Business Office will contact you with pricing & an agreement only after receiving all paperwork. Please review the Watchung Hills Regional BOE District Policy 7510- USE OF SCHOOL FACILITIES for the pricing schedule.

*Events or activities to be held on Sundays require additional approval by the Superintendent.


Setup Requests:

You may view the list of IT equipment, furniture, and setup items under the Other Needs tab of the Facility Request. Please fill out this form with the quantities of items needed for your activity. Notifications will then be automatically routed to the appropriate department with details about the setup.

You may also add details under the Setup Notes tab to your RSchool Facility Request.

*Sternos or other open flame food warming devices are not allowed at WHRHS. 

* The use of a propane grill requires a permit from the town prior to use and must be kept at least 25 feet from any building.
